Thank you for your booking in to the clinic


A little about your Vagaro app: You can book on line with your app, you can check your appointment times and change bookings on your app (providing it is in the cancellation policy) you can purchase gift vouchers and courses of treatment on your app and you can both message the clinic and email the clinic on your app. The app each months offer a special offer / deal to get this deal you must book on your app o line – offers are only for the app and on line. To find the monthly deal, go on your app and when you see the clinic logo, scroll down, you will come to the booking offers called daily deals. You will also receive monthly emailed offers, so check your emails for the monthly deals. The app also has the clinic address on and a satellite navigation to the clinic address, just go to the clinic logo and scroll down.

Your payment receipt: To the more planet friendly, all receipts are emailed , with this receipt there is the opportunity to also give a review of your treatment and clinic experience which is greatly appreciated. 


Please when you are filling in your profile information and please include: Your full name, full address and post code, email address and date of birth. 


Please note: Only one person in the clinic, and that is the person who is having the treatment can come in to the clinic treatment room. This rules only differs with minors and people with a personal allocated legal advocate.


Paper work is essential prior to a treatment, no exceptions to this rule this is for health and safety, insurance and legal purposes. 


Strictly NO videos or photographs are allowed - no exceptions.


All prescription medications are subject to a £35.00 additional charge. Prescriptions last six months per item. If you require two types of prescription medication treatments, for example: Botox and hay fever relief, has they are two different treatments, which then means there are two different medications, therefore this will require two prescriptions, but each prescription will last six months before it needs renewing again. 


Please be sure that your health etc and time you booked is acceptable as booking deposits are none refundable.


ALL special offers can ONLY be given if you book on line, offers are NOT given if you are booking is through telephone call / social media such as Facebok etc, this is to encourage on line bookings and therefore you get the offers for booking on line.


On your arrival, please stay in your car. Please open your Vagaro app on arrival, Your phone will receive a message from my booking system asking you to check in. Just press check in. Your Aesthetic practitioner will send you a message or come out to you when she is ready.


If your check in does not show, do not worry the clinic will know you have a booking. If you wish you may send a text or face book message to 07712423644.


Please do not come to the door until your aesthetic / wellness practitioner sends you a message on Vagaro app / text to come to the door -(ready to start your service) or comes out to receive you for your booking. Please do not go through the black gate on the drive or enter without consent or loiter on the drive before you get your confirmation that I am ready for you. Please do not come to the front door until I am ready to start your booking.  Please do not open my front door or enter without my asking you too by confirming on the app that your practitioner is ready to start your booking. If you forget your phone the clinic will be aware of your booking and will come to you to bring you into the clinic, please do not come to the front door. 


Please be respectful of the times you are contacting the clinic. There is online booking, so it is easy to make a booking out of hours. The vagaro app offers: Online booking service and one line booking gift vouchers, change of appointment, emails and text messages... The online booking holds a lot of information on every procedure offered. You can also book gift vouchers online too and fill in all pre-treatment paper work online via the app 'e' documents. The relevant 'e' document will be automatically sent to you, once you have opened them up and filled them in on online or on your phone, just press send and it will automatically come back to me via the Vagaro secure app. If it does not send this means you have missed something, then please go back in an check, this is the only reason it will not send.


Payments must be made in the clinic on the day and not after you leave the clinic as no credit service is offered.


You can pay in the clinic by card, cash or bank transfer or clinic gift cards.


Please do not park on the drive or blocking other peoples drive ways. Park at the front of the clinic


Please do not park partly on the path, please ensure all car tyres are fully on the road please.


Please check under your car before departing, as there are many kitty cats on the road - mine included and they can sit under cars.


Please note due to the nature of the treatments undertaken at the clinic, your practitioner endeavours to run to time but on some occasions due to unforeseen circumstances this does not always happen. Please be patient your treatment may run later than planned but will never be cut short or rushed.  The clinic will always try to contact you were possible if treatments are running behind or may run late. The clinic does try hard for this not to happen but occasionally things can be more difficult and unpredictable than what was originally thought. The clinic apologise in advance if this happens, but it cannot always be helped. 


Please note CCTV in all areas of the clinic and ring doorbell are in operation inside and outside the clinic. 


I must stress please do not come early for your booking, just on time or five mins before, as your practitioner may still be other clients. Please do not come to the door, check in on your Vagaro app, what's app or face book message.


Mole removal and aesthetic procedure clients please remember to send your daily photos every day for one week and your healed photos at week 3 and week 6 after your treatment and finally when the scabbing drops off, this is to help you and check if the area is healing correctly etc.


Courses of treatment are to be paid strictly 7 to 10 days in advance, this allows time to order the stock. Under no circumstances can stock for courses of treatment be ordered without full payment first, and once paid you cannot be refunded or transferred to other courses or other people or off other treatments and become nil and void after one year if they are not used. 


Courses of treatments cannot be refunded. It is essential to stick to your course time intervals as per your consultation. 


Courses of treatment have to be used within 12 months or become nil and void. Courses of treatment are none transferable, time cannot be extended outside the 12 month period for use, and the course cannot be transferred to another person or shared with another person or be changed for a different treatment type.


ALL special offers can only be given if you book on line, offers are not given if your booking is through telephone call, this is to encourage on line bookings and therefore you get the offers for booking on line. If you book via phone the offer does not apply.


Letters for Our Clinics, doctors, and insurance are chargeable, and payment taken up front. Payment is the price per letter, starting from £30


There is a administration charge for the credit facility from £50.00


 


Once offers have expired they cannot be carried over after the expiry date.


When it comes to cancellations, and varying reasons to why bookings cannot be attended at last minute or outside the cancellation terms and conditions. Due to this happening many times the clinic may require evidence of illness etc, broken down cars etc to stop time waster. Booking deposits are not refunded and the full monies owing will still be due other than in evidenced exceptional circumstances. This is because the time was allocated to you and nobody else can be booked in and this is a small business. Deposits are none refundable and therefore appointments can be moved to a different day / month etc, providing the cancellation is within the booking terms and conditions policy of 72 hours’ notice is given from Monday to Saturday 8am - 8pm. If you cancel three times in a row you will need to pay up front and in full for future bookings. Credit card / debit card details are taken on all booking created and used to pay charges if the cancelation policy is breached.


In the circumstances of a client booking for several treatments, then attending on the day for their booking and only wanting one or part of the treatments that they have booked, they will still be charged for ALL of the treatments booked, this is because the time has been allocated to you / the client, the stock has been purchased and nobody else could book in, therefore the full amount of all the treatments the client has booked will be due and deposits none refunded. All treatments not cancelled or cancelled outside the booking policy's will be charged for in full. 


In instance of course of treatment pre-paid booking, if a treatment is not cancelled is unattended or not cancelled within the cancellation policy the treatment will be deducted off the course price. Course of pre-paid treatment are valid for one year, after this they expire and become nil and void. Course of treatment cannot be refunded, changed to a different treatment, shared with a third party or changed or given away. In rare circumstances of unavoidable cancellation evidence may be required before a treatment cannot be taken off a course. I agree to all the booking terms and cancellation and course of treatment policy. 


None attendance or late cancellation goes against the clinic booking and cancellation policy and will result in loss of booking deposit and the rest of the treatment price charged for as per the booking terms.  


Please note: If a booking time for example is 2 hours for the treatment(s) please do not ask for it to be done in less time because you have not allocated enough time and you are in a rush, this compromises the treatment performed and puts the aesthetic practitioner under undue pressure, so please ensure you book the correct time out in your diary. Every treatment is performed to the best of your aesthetic practitioners ability, this cannot be done if the treatment is rushed and time is cut short.


On making any bookings you will receive an automated appointment reminder please DO NOT try to reply as its automated and you will not get a reply.


72 hours notice must be given on all cancellations, or the treatment is charged for in full, cut off times 8am - 8pm working days Monday to Saturday


No guests can attend the booking in the clinic with you - the treatment room is not large and is therefore room for the therapist and client only, only child can have one parent attending in the clinic with them for legal reasons.


Please ensure when you book in that you fill in all of your booking profile. It should include: Your full name, address, post code, date of birth and email address, this is essential to your booking.


Forms / disclaimers / informed consent


All forms must be filled in prior to attending your appointment. If forms are not filled in the procedure / consultation may not be able to go ahead but the full cost will be charged for as the time was allocated to you. If forms are filled in within the clinic in clinic time (if there is enough time to do this) as this takes more time, there for a charge of £10 per form filled in, so please remember to fill ALL your forms in prior to your visit. 


Abuse or rudeness will not be tolerated at the clinic.



  • Prescription last six months for the same treatment. For example, if you require a prescription on a separate date for toxin then you pay for that prescription and that lasts six months. If you wish to have a second type of prescription medication, has the prescription is for something else there is a separate charge but each prescription lasts 6 months per item.


  • A strict no smoking or Vaping policy within the clinic.


  • Out of consideration for the clinic, a strict policy on mobiles phones being switched off or on to silent mode - politely request all mobile calls are always taken outside the salon.


  •  No treatment can be stopped for a client to take a call.


  • Children are not permitted in the salon under the age of 16 years unless they are having a treatment. Children may only attend the salon for treatment if under strict supervision.


  •  A charge will be made for all breakages and damage to all property of the clinic property


  • The clinic cannot be held responsible for client’s personal belongings within the clinic, all items left at the clients own risk


  • We do not offer credit facilities unless you have used or payment option plan; therefore, all treatments are to be paid for straight after the service is completed by cash or card machine. In clinic and not when you go home etc.


  • Not accepted: Cheques, PayPal and American Express.

 

  • All the treatment times are specified, if a treatment takes over the specified treatment time, then the extra time is charged at the going rate.


  • Please note: Please attend for your appointment on time, unfortunately if you are late, as we have other scheduled appointments, with respect to other guests, the time will be deducted from your treatment, but the full price will be charged, as the time was allocated for the treatment.


  • If you more fifteen ins late, your appointment may be refused but you will still be charged as the time was allocated to you.


  • We will not treat any persons under the influence of alcohol or drugs.


  • If you have a personal advocate, you must bring them with you to your booking


  • There is a zero patience / tolerance policy on rudeness, abuse, bad language, or any type of behaviour deemed to be threatening or upsetting to clinic employees.


  • There is full recording CCTV coverage in indoor and outdoor in all clinic areas.


  • Please do not have a sun bed 48 - 72 hours before a clinic visit as it may compromise the treatment quality and skin healing.


  • Please only the client in the clinic with the aesthetic practitioner do not bring, family, friends or children
  • Strictly no videos or photos in the clinic

Of contact details change, e.g.: mobile phone numbers etc.

If you are, trying to be, or suspect you are pregnant.

Taking any form medication,

If you are taking herbal or homeopathic remedies

Dieting

Suffer from allergies,

Undergoing any medical treatment or supervision,

Have had cosmetic surgery or intending on having cosmetic surgery.

Have had acid peels or using retinol or AHA based products.

If you use a sun bed regularly


 


 


Bookings and Cancellation Policy


  • In the interest of all our clients attending the salon and to provide a professional service and to stop time wasters, a booking deposit is taken when appointments are made. This is taken off the overall price of your booking. Appointments that are not honoured or cancelled within 72 hours or breach the cancellation policy of the treatment will result in the loss of the booking fee and full charge taken of your card before any bookings can be made again, this is to stop time wasters. Clients on a course of treatments that are pre-paid, will lose the treatment. Appointments that are paid for in advance and are not honoured will result in loss of payment, which are none transferable and non-refundable. The cancellation policy applies to all clients including clients on courses of treatment or gift vouchers.
  • This clinic does not give refunds. Deposits are nonrefundable. 
  • Disclaimer – please note that on all treatment there are risks involved, you will be asked once your consultation is completed to sign a disclaimer saying you understand the risks and cannot hold the company or its employees responsible.


 


Course of Treatment Bookings


  • Treatment courses that are paid for in advance have the same cancellation policy as all the other salon treatments; 72 hours’ notice is required, or the treatment missed will be deducted off the course amount. All courses must be used within one year of the date purchased after which time the course is and becomes invalid nil and void.
  • Gift Vouchers, pr paid treatments or treatment courses of treatment cannot be given to / sold to a third party under any circumstances.


 


Appointment Late Arrivals


  • To offer an efficient service This clinic request that all attending clients please be on time for their appointments. No early. If a client is more than ten minutes late, we may have to deduct this from the treatment time, although the full charge will still be administered.
  • This clinic now offers payment options


 


Complaints Policy


  • All complaints are to be made in writing. Please note CCTV cameras are in operation. This does not affect your statutory rights.


Payment Methods



  • Electronic card machine payment or cash on the day straight after your treatment in salon.
  • The company reserves the rights to change the prices / offers etc at any given time without giving notice to customers.
